This Department Operations Manager is responsible for the daily operations and administrative support of the Department. The Operations Manager Oversee all facets of the daily operations and business practices of the 0rganizational unit, ensuring compliance with the University, state, and federal laws, policies, and regulations. Act as key liaison to ensure that budgetary, human resources and academic administrative duties to faculty, staff and students are addressed in an effective and timely manner. The position also provides office supervision of staff members in the department.This position requires a High School diploma or equivalent with four years of customer service related experience including at least one year of supervisory experience.The University of South Florida is a high-impact global research university dedicated to student success. Administer academic policies and advise faculty, staff, and students on policy matters related to the academic program. Serve as a liaison with other academic and administrative departments regarding the academic program, representing the program on cross-functional teams, policy committee, and work groups. Direct support to the Department Chair to include correspondence management, meeting and appointment scheduling, data gathering and analysis, report preparation, etc. Write reports and prepare presentations about the academic program, to include reporting for SACS accreditation, instructional activity (SCH), department reviews, etc. Coordinate and compile information that will be used as part of the department's strategic plan (including, but not limited to, number of undergraduate and graduate researchers, publication history, conference attendance, minority representation, award history, etc.) Coordination of all department events, to include department seminars, student awards ceremonies, graduate student open house, new student and teaching assistant orientation, colloquia, etc.

Budget:
Oversee the department budget as it pertains to the academic program and perform other administrative and analytical duties supporting the academic mission of the department as assigned including preparation & submission of signature authorization and workflow forms, approval of requisitions, payment requests & reimbursements, preparation of non-payroll & budget transfers, and maintenance of department budgets, auxiliary and new faculty startup funds. Serve as a back-up for P-Card reconciliation.
Personnel/HR:
Supervise, manage and train staff and undergraduate student workers supporting the Academic Program and department research administration as assigned by the Chair. Ensure cross-disciplinary training of staff in order to support the academic mission of the department. Assist with the preparation of faculty and staff appointments and assist in preparing bi-weekly payroll certifications. Collect and audit hourly time sheets and graduate time logs, prepare online certifications, review & reconcile payroll registers, review & update pay distribution, prepare payroll expenditure transfers, and prepare all other forms related to payroll/compensation.

Provide department support for IT related matters such as setting up and maintaining phone and email accounts, submitting and managing IT work orders, P-drive management and maintenance of multiple department email distribution lists.

Coordinate new staff hire process, maintain current position descriptions and maintain personnel files. Schedule regular office staff meetings.

Faculty support:
Facilitate faculty activity reporting and annual evaluations. Provide administrative support for mid-tenure, tenure and promotion applications. Schedule general faculty and committee meetings; preparing materials and taking minutes as needed.
Assist with annual faculty reviews, annual assignments, and workloads. Assist with faculty awards procedures.

Curriculum:

Fulfill department responsibilities for program marketing. Coordinate the recruitment and credentialing of faculty or adjunct instructors including, but not limited to, posting ads, conducting searches and facilitating interviews. Schedule Graduate Assistants and other personnel required to meet instructional requirements. Prepare reports and presentations about the academic program, instructional activity and program planning including accreditation reports. Conduct enrollment analyses via unmet demand reports, find trends and predict needs based on historical data. Serve as back-up to the Academic Program Specialist in assisting the Chair and Associate Chair in developing the semester course schedule for graduate, undergraduate and distance learning courses.
