Administrative Support Specialist (Project Management)



The Women's and Gender Studies (WGS) Program Coordinator is responsible for the support and logistical implementation of the WGS Department and WGS Center for Social Justice programming, including event planning, advertising and related administrative tasks.

  • Event and program logistics such as advertising and promotion; guest lodging, travel and visit coordination; materials ordering and room set-up/tear-down; responsible for multiple projects with competing deadlines
  • Assist with department email, websites, social media, and graphic design for event promotion

This position will also perform administrative support duties, function as the department receptionist, and assist with special projects.

  • Schedules various appointments for office personnel and ensures administrative details are completed
  • Maintains office files that may be of a confidential nature
  • Serves as a contact person for other employees or the outside public
  • Provides information regarding location or availability of materials, resources, and services
  • Reviews and responds to routine correspondence or the office personnel
  • Makes copies and assembles materials
  • May run errands for the department
  • Performs related duties as assigned to successfully fulfill the function of the position.  

Required Education: High School diploma or GED AND:

  • 12 months office, clerical or administrative support experience.

Skills:

  • Working knowledge of office procedures
  • General office and customer service skills
  • Working knowledge of Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to work independently and as a team player
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail oriented for accuracy of data and information
  • Ability to multitask, be organized, and self-motivated
  • Ability to work in stressful situations
  • Ability to communicate verbally and in writing

    Advertised Physical Requirements:

    • Sit for prolonged periods
    • Communicate effectively and listens
    • Engage in repetitive motion
    • Use of computer and telephone
    • Stand, stoop, bend and reach
    • Standard office environment

    Department Preferences:

    • 6-12 months event planning experience
    • Experience with basic graphic design
    • Familiar with OU systems
    • Valid Driver's License
