Payroll Specialist (Administrative)



SUMMARY: The Payroll Specialist is responsible for compiling and maintaining payroll records. This role ensures timely and compliant payroll operations by capturing and editing daily electronic time entries from the field using various timekeeping systems such as Procore, WorkMax, and BuildOps. The Payroll Specialist also supports weekly payroll processing, manages employee deductions and garnishments, and assists with payroll reporting and audit.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process and handle exceptions for electronic timecards and timekeeping applications on a daily basis.
  • Review and apply overtime/double-time rules, union agreements, and applicable state labor laws.
  • Verify and enter PTO and sick time requests.
  • Process mileage reimbursements.
  • Collaborate with employees and supervisors to resolve timecard and paycheck issues.
  • Input timecards and balance payroll batches.
  • Process layoff checks and missed time checks as needed.
  • Input and maintain employee records, including new hires, W-4 updates, direct deposit changes, and rate adjustments.
  • Distribute payroll checks in-office and manage payroll mailings.
  • Support the department with additional tasks as assigned, such as account reconciliations.
  • Sort and route paperwork and reports to appropriate recipients.
  • Provide union reporting, termination slips, and hours reporting.
  • Assist with year-end payroll processes, including W-2 preparation and filings.
  • Support internal and external audits by preparing and providing necessary payroll documentation and reports.
  • Work overtime as required and requested by the supervisor to meet department and company needs.

EXPERIENCE, EDUCATION:

  • High school diploma or equivalent required; bachelor's degree in accounting, Business, or a related field preferred.
  • Minimum of 4 years of payroll or timekeeping experience.
  • Comfortable working with evolving technology and payroll systems such as About Time, Procore, WorkMax, BuildOps, Spectrum, and Dayforce.
  • Experience with full-cycle payroll processing.
  • Union construction industry experience preferred.
  • Proficiency in payroll software and Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and excellent organizational skills.
