Receptionist (Administrative)



This individual in the Receptionist role is responsible for ensuring CORE Health clients and guests feel welcome upon entering the facility. The Receptionist will answer inquiries and provide information to the general public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments and offices within the organization. Duties will include operating telephones to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments. They will also greet persons entering establishment, determine nature and purpose of visit, direct or escort them to specific destinations, and schedule appointments and maintain and update appointment calendars.
Typical Work

Operate telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments;
Greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations;
Schedule and cancel appointments and maintain and update appointment calendars;
Hear and resolve complaints from customers or the public;
File, scan and upload clinical documents and releases of information (ROI's);
Receive payment and record receipts for services;
Transmit information or documents to customers, using computer, mail, or facsimile machine;
Analyze data to determine answers to questions from customers or members of the public;
Collect, sort, distribute, or prepare mail, messages, or courier deliveries;
Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided;
Keep a current record of staff members' whereabouts and availability;
Perform duties to maintain lobby or reception area appearance;

Complies with all HIPAA and 42 CFR privacy and security regulations;
Performs other work as required.

Qualifications

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology;
Outstanding customer service skills;

Ability to communicate effectively, orally and in writing, in both group and individual settings;
Work in a team based environment;
Establishes and maintains effective interpersonal relationships with customers, peers, management, partners, community based organizations, private employers, and other state & public agencies;
Ability to work with diverse populations;
Work in a fast paced environment demonstrating flexibility and ability to adapt to change; and,
Has knowledge of HIPAA and 42 CFR regulations;
Must be able to lift up to 25 pounds;
Must be able to sit at a computer for prolonged periods of time.
