Accounts Payable Specialist *Hybrid (Finance)



The specific pay rate and level will depend on the successful candidate's qualifications, prior experience and location.

“A Day in the Life”

The NextGen AP candidate for the Oracle Fusion AP solution should be atech-savvy and analytical individual with strong traditional accounting skills who embraces automation and is eager to learn and adapt to the evolving landscape of AP technology.

“What You'll Do”

  • Open incoming mail and scan invoices to AP portal (KTM)
  • Process invoices (KTM) when needed, review and process Manual Check request (Urgent/Refund/Tax payments)
  • Process weekly check runs, ensure prompt payment of all vendor invoices and validate the “Positive Pay” file. Stuff checks and mail
  • Contact new vendor for W9's and submit to DOH department for supplier setup
  • Initiate document requests for electronic payments (Wire, ACH, etc.)
  • Prepare FedEx envelopes for overnight checks
  • Manage AP Mailbox. Respond to vendor inquiries and take proper action on past due invoices
  • Process Credit Applications
  • Verifies vendor accounts by reconciling monthly statements and related transactions
  • Handle all banking activities, such as positive pay, cleared checks, weekly check run reconciliation, stale dates checks, stop payments, voids and reissues
  • Perform AP Administrative tasks as needed

“Must Haves”

  • Minimum of 3 years of Accounts Payable experience
  • Foundational Accounts Payable expertise
  • Core AP knowledge: A solid understanding of accounts payable principles, including invoice processing, payment procedures, vendor management, and reconciliation processes.
  • Accuracy and detail-oriented: The ability to meticulously review invoices, accurately enter data, and ensure financial records are maintained with precision.
  • Communication skills: Effective communication is crucial for interacting with vendors, suppliers, and internal teams to resolve issues and ensure smooth operations.
  • Organizational skills and time management: Managing a high volume of invoices, payment schedules, and other AP tasks requires strong organizational and time management capabilities.
  • Technical and analytical skills relevant to Oracle Fusion AP
  • Familiarity with Oracle Fusion: Experience with or a strong aptitude for learning Oracle Fusion Cloud Applications, particularly the ERP and Financials modules.
  • ERP system proficiency: Experience using accounting and ERP systems for tracking expenses, managing invoices, and handling transactions, issuing payments
  • Data analysis and reporting: The ability to analyze financial data, generate reports, and assist with financial planning and auditing functions.
  • Understanding of AI and automation: While not necessarily an expert in AI, the ideal candidate should be comfortable with and open to adopting automation tools and AI-powered features in Oracle Fusion AP to enhance efficiency.
  • Soft skills and future-oriented traits
  • Problem-solving abilities: Identifying and resolving invoice discrepancies, payment issues, and other challenges that may arise in the AP process.
  • Adaptability and embracing change: As Oracle Fusion AP solutions are constantly evolving with new features and updates, the ideal candidate should be adaptable and open to learning new processes and technologies.
  • Continuous learning mindset: Staying updated with Oracle Fusion AP advancements, including new AI capabilities and best practices, is crucial for maximizing the solution's potential.
