Clinical Coordinator/NERS - Marsha Fuerst School of Nursing - Glendale (Healthcare)

POSITION SUMMARY

The RN-BSN Program Administrative Assistant/Clinical Coordinator/NERS provides advanced administrative and technical support to the Dean of Nursing/Director of Nursing and the Nursing Department. 

 ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greets visitors, students, and/or employees and responds to inquiries and requests for information.
  • Establishes and maintains cooperative working relationships with other employees and facilitates carrying out instructions involving other departments, transmitting information.
  • Maintains office files, student files, and other appropriate records.
  • Prepares syllabi, tests, and other documents as requested by Nursing Administration.
  • Maintains inventory of office and clinical supplies.
  • Performs general clerical duties including organizing, filing, shredding and photocopying documents and files, etc.
  • Composes written correspondence and materials; creates and update all departmental forms and prepare for website; prepares minutes, reports, statistical data, and other materials pertaining to the Nursing program.
  • Responsible for answering phones, responding to voice or e-mail messages, and sending and receiving faxes. 
  • Schedules appointments and meetings, sends out meeting notices, makes travel arrangements, and maintains the department calendar.
  • Manages the distribution of all incoming and outgoing mail; screens and responds as necessary.
  • Assembles attachments and corresponding material; reviews outgoing material for completeness, dates, and signatures.
  • Performs assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.
  • Assists in developing new and better ways for performing job functions and organizing office procedures.
  • Provides and participates in delivering education navigation and support.
  • Create and deliver structured classes that focus on time management, financial aid, writing discussion board responses, Moodle, college transition, campus resources, academic polices and procedures, study skills, test taking skills, note taking skills, reading skills, learning styles, stress management, and life skills management.
  • Collaborate with Admissions, the Registrar, and Financial Aid to coordinate student services in an effort to develop a positive sense of belonging, academic skills, and life skills in enrolled students.
  • Schedule and hold office hours to ensure availability for assistance with assignments, course progression, or other issues being experienced by the individual student.
  • Facilitate student compliance with the college and nursing department policies and procedures.
  • Act as a liaison between students and faculty
  • Assist faculty in identifying high risk students and implement appropriate interventions as needed
  • Negotiates clinical schedules with existing clinical sites and develops the rotation schedules in collaboration with Program Director/Dean.
  • Collaborates with agency staff to maintain currency to all clinical institution.
  • Interacts with clinical agencies to plan for and schedule student group clinical.
  • Attends required meetings at clinical affiliation agencies in collaboration with Program Director.
  • Schedules and notifies students and clinical faculty regarding the clinical orientation for each student clinical group.
  • Collaborates with site-coordinators to evaluate clinical sites.
  • Serve as a resource and support person for clinical adjunct professors.

QUALIFICATIONS KNOWLEDGE AND SKILLS

  • Demonstrated skills in establishing and maintaining effective working relationships with students, staff, faculty, and the public.
  • Knowledge of nursing educational program development
  • Knowledge of the principals and practices of nursing including nursing guidelines set
  • Proficient in office machines such as telephones, copiers, fax machines, or 10-key calculators.
  • Proficient in computer programs utilized, which include electronic mail, Colleague (college database system), Windows XP, Word, Excel and Outlook.
  • Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions and/or interpret and apply these guidelines correctly in various situations.
  • Knowledge of business English using appropriate words, correct grammar, punctuation, and spelling.
  • Ability to use independent judgment and discretion.
  • Detailed-oriented with skills in proofreading materials and data entry.
  • Solid verbal and written skills

EDUCATION AND EXPERIENCE

  • College diploma or equivalent. 
  • Good verbal and written communication skills.
  • Knowledge of the Moodle Learning Management System Platform and computer skills.
