Position Summary:

The Administrative Specialist will, under general supervision from the Director of Student Experience, manage operations and services within the Office of Academic Programs and Student Experience (APSE). The Administrative Specialist will support the student experience by ensuring efficacy of processes and advocating for office needs.

Workplace Requirements:

Rice Business primarily delivers residential classes and activities taking place almost daily between 7 am and 10 pm. We value a highly collaborative and community-based culture, with expectations to provide in-person support and services to all members of our community. Remote work options are limited. Most employment activities are required to be performed in-person and on-campus. This in-person approach is central to the successful achievement of our research and academic missions.

This position is exclusively on-site, necessitating all duties to be performed in-person at Janice and Robert McNair Hall. This position will regularly require evening and weekend work as needed by student elective courses, events, and activities. This position may be offered as a hybrid role and may combine both in-office and remote work to provide flexibility and support collaboration. Remote work opportunities are possibly extended to the candidate following the successful conclusion of the probationary period. Per Rice policy 440 , work arrangements may be subject to change.

Annual Hiring Range: $45,000 to $52,900

*Exempt (salaried) positions under FLSA are not eligible for overtime.

Minimum Requirements:

  • Bachelor's degree
  • One year of administrative work experience
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted

Skills:
  • Excellent computer skills including advanced knowledge of Microsoft Office Suite
  • Excellent communication skills, including written, oral, and visual
  • Ability to apply student development and learning outcomes theories
  • Ability to manage events and programs
  • Ability to manage office operations, support events and programs
  • Ability to instruct students in risk management policies, procedures, and program planning

Preferences:
  • Experience in student life, student affairs, or student development programming
  • Degree in Communication, Psychology, Educational Leadership, Student Affairs, Business Administration, or a related field

Essential Functions:

Office Operations and Administrative Support:

  • Administers the APSE reception, serving as the one-stop shop for Suite 300 visitors
  • Manages office operations, including purchasing supplies and staff purchases
  • Supports platform usage, including CampusGroups, Owlnest, IO, EZCater, Box, Rooms.Rice, and more
  • Handles financial management tasks, such as budget management, running reports, reconciliation, procurement, vendor management, and reimbursements
  • Connects students with appropriate staff for additional support
  • Manages office work and group email accounts
  • Answers phone lines and provides advanced administrative support as needed
  • Performs all other duties as assigned
