Training & Logistics Coordinator (Project Management)



Position Summary:

The Training & Logistics Coordinator plays a critical role in coordinating comprehensive training operations, acting as a vital liaison between the Learning & Development team and field operations. This position is essential for ensuring effective and seamless post-onboarding processes, facilitating clear and timely communication regarding training needs with all levels of management, meticulously tracking data and metrics for various training programs, and actively supporting the successful execution of in-field training exercises and events. The ideal candidate will possess a strong understanding of logistical coordination within a dynamic environment, ensuring that all training initiatives are well-planned, executed efficiently, and aligned with organizational goals.

Core Responsibilities:

Assist in the development of detailed project plans, timelines, and deliverables for training initiatives using advanced project management tools (e.g., Smartsheet, Asana, Monday.com, MS Project, Jira, or similar platforms).

Proactively identify potential roadblocks and develop mitigation strategies to ensure timely completion of training projects.

Coordinate resources, schedules, and materials for all training activities, ensuring optimal utilization and availability.

Coordinate comprehensive post-onboarding activities, ensuring all new personnel are seamlessly integrated and assigned appropriate foundational and advanced training modules.

Develop and maintain a systematic process for tracking new hire training progression and compliance.

Collaborate with HR and departmental managers to ensure a smooth transition from onboarding to ongoing professional development.

Act as the primary field liaison, disseminating critical training updates, briefings, and providing real-time support to field personnel and management.

Facilitate two-way communication between field operations and the Learning & Development team, relaying feedback and identifying emergent training needs.

Develop and deliver clear, concise communications regarding training schedules, requirements, and changes.

Lead the planning and execution of complex tabletop exercises, live training events, and workshops, including venue selection, equipment setup, material preparation, and participant registration.

Ensure all training events adhere to established protocols and safety guidelines.

Implement robust systems for tracking attendance, training completion rates, and individual performance metrics.

Generate comprehensive reports on learning data, course completion, training effectiveness, and ROI, providing actionable insights to management.

Maintain highly organized and accurate records of all training activities, certifications, and compliance documentation in a centralized database or LMS.

Qualifications:

Bachelor's degree in business administration, Education, Logistics, Human Resources, or a related field preferred.

Minimum of 3 years of experience in a training coordination, logistics coordination, or similar administrative role, preferably within a corporate or operations environment.

Experience in a role requiring significant liaison between departments or with field operations is a strong asset.

Prior experience with data analysis and report generation related to training or operational performance is a plus.

Understanding of adult learning principles and instructional design concepts is beneficial.

Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Demonstrated experience with project management software (e.g., Smartsheet, Asana, Monday.com, MS Project) and/or Learning Management Systems (LMS).

Familiarity with data tracking and reporting tools (e.g., pivot tables, data visualization tools) is highly desirable.

Exceptional coordination, organizational, and time management skills with a keen eye for detail.

Superior written and verbal communication skills, with the ability to articulate complex information clearly and concisely to diverse audiences.

Proven ability to work independently and as part of a team in both office and dynamic field environments.
