Manager, Leave Administration (Northfield, IL) (Project Management)



Job Summary

JOB SUMMARY

The Manager, Leave Administration is responsible for Medline's end-to-end absence management and leave accommodation program. This includes program design and administration, with focus on employee experience, accurate pay, compliance and continuous improvement.

Job Description

MAJOR RESPONSIBILITIES

  • Manage all aspects of leaves of absence and leave accommodations for employees, including medical and family leaves, short-term and long-term disability, unpaid and military leaves.
  • Oversee complex escalated employee issues and appeals; provide recommendations to Benefits leaders and Legal.
  • Develop and implement streamlined leave platforms, processes and procedures to achieve optimal employee experience; perform regular end-to-end operational assessments.
  • Provide ongoing plan management including evaluation of program performance and trends. Develop, generate and present reports to analyze disability and leave trends.  Identify trends in reasons for leave and propose strategies to reduce the need for leave or promote a more efficient transition back to work.
  • Evaluate cost and competitive market placement for leave/disability programs. 
  • Maintain current subject matter expertise of federal, state and municipal leave laws and regulations as well as Medline policies. Monitor changes in divisional policies that may affect the delivery of leave and disability administration. Propose revisions to internal documents, policies, systems, and communications as necessary to ensure company compliance.
  • Oversee system management between the company HR system and the leave administrator to ensure proper functionality.
  • Assist with ongoing vendor analysis, selection, negotiation and procurement.  Ensure vendors are meeting contractual service level requirements and performance guarantees.
  • Design educational material and tool kits to assist employees, HR, and management with absence management.

MINIMUM REQUIREMENTS

EDUCATION

  • Bachelor's degree

WORK EXPERIENCE

  • At least 5 years' experience in leave/LOA management to include experience with STD and LTD plans, FMLA and similar state and local programs and policies, Military leaves, parental leaves, COBRA, HIPAA, ADA/ADAAA, Workers' compensation and life benefits as it relates to integrating with leave and disability.
  • Experience applying regulatory and legislative knowledge of FMLA and other state and local statutory leaves and other appropriate compliance requirements.

KNOWLEDGE / SKILLS / ABILITIES

  • Experience applying knowledge of disability concepts, disability plans, medical terminology, claim management practices and principles, reasonable accommodations and return to work practices.
  • Experience implementing and managing vendors.
  • Project management experience with emphasis on continuous improvement.
  • Intermediate level skill in Microsoft Word (for example, inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
  • Advanced level skill in Microsoft Excel (for example, using AVERAGE function, merging and centering cells, printing centered page and/or creating a pivot table).
  • Position requires maintaining confidentiality of sensitive information.

PREFERRED JOB REQIREMENTS

CERTIFICATION

  • Certified Employee Benefit Specialist (CEBS) or Certified Benefits Professional (CBP).
  • DMEC Certified Leave Management Specialist (CLMS).

WORK EXPERIENCE

  • Benefit administration experience in a corporate environment.
  • Experience managing people, providing work direction and developing a high performing team

KNOWLEDGE / SKILLS / ABILITIES

  • Experience with outsourced absence management programs.
  • Workday and UKG experience.
  • Bilingual/Spanish

The anticipated salary range for this position:

$110,240.00 - $165,360.00 Annual

The actual salary will vary based on applicant's location, education, experience, skills, and abilities. This role is bonus and/or incentive eligible. Medline will not pay less than the applicable minimum wage or salary threshold.
