Senior Accounting Specialist, Billing, Finance and Facilities (Project Management)



Schedule
This position is eligible for a hybrid work schedule, with a minimum of three (3) days in-office based out of our West Sacramento office and two (2) days working remotely.

Summary
We are seeking a highly motivated and detail-oriented individual to join our team as a Senior Accounting Specialist, Billing. Reporting to the Director, Accounting, this role is responsible for managing a variety of complex billing functions including membership renewals, professional services, events and software subscriptions while ensuring accuracy, timeliness, and compliance with company policies.

In addition to billing, the Senior Accounting Specialist, Billing supports key general ledger functions related to revenue recognition, deferred revenue reconciliations, and revenue accruals. This role requires strong attention to detail, exceptional organizational and communication skills, and a proactive, problem-solving mindset. The ideal candidate will thrive in a collaborative environment and bring a strong foundation in accounting and billing operations; perform a variety of other duties as assigned.

Essential Duties & Responsibilities

Prepare and process billing for memberships, professional services, events, and subscriptions in accordance with policy and contract terms.
Apply payments accurately to outstanding invoices and maintain updated customer records and billing notes.
Monitor aging receivables and collaborate with departments and customers to ensure timely collections.
Communicate with customers regarding overdue accounts and implement effective collection strategies.
Collaborate with operations, sales, and member services to resolve billing discrepancies.
Prepare monthly revenue accruals, deferred revenue reconciliations, and related journal entries.
Support revenue recognition processes in accordance with GAAP.
Assist with reconciliations of balance sheet accounts tied to billing and revenue activity.
Maintain detailed supporting schedules for month-end close and audit purposes.
Provide training and guidance to staff on accounting-related procedures.
Use judgment to troubleshoot and resolve accounting or billing issues.
Work cross-functionally and engage professionally with staff, vendors, and the public.
Support the Director, Accounting and CFO with special projects and other duties as assigned.
Maintain confidentiality, uphold organizational values, and promote a professional work environment.
This position does not have direct supervisory duties but may advise, train, and support other employees on accounting-related tasks.
Perform other duties as assigned.


Qualifications

Associate's or Bachelor's degree in Accounting, Finance, or a related field.
Minimum of four (4) years of accounting and/or billing experience.
Experience with membership, subscription, or professional services billing is strongly preferred.
Knowledge of GAAP principles and revenue recognition concepts (including deferred revenue).
Performs detailed and technical accounting work accurately and timely.
Manages multiple priorities and deadlines effectively.
Composes reports and correspondence independently.
Interprets and applies financial policies and procedures.
Uses accounting software and modern office equipment with proficiency.
Communicates clearly in writing and verbally.
Works both independently and collaboratively.
Uses sound judgment and initiative in a professional setting.
Establishes and maintains effective working relationships with coworkers, vendors, and customers.
Experience with Accounting software and financial document processing.
Strong knowledge of budget practices, recordkeeping, and account reconciliation procedures.
High-level of experience with Microsoft Office (especially Excel) and accounting systems.
High-level customer service and communication techniques.
This position is contingent on the ability to pass a background and credit check upon accepting an offer.
Employee must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds, hand truck available to assist.
Must be able to sit at computer for long periods of time and have the dexterity to access, enter, and retrieve data using a computer keyboard or calculator, and operate standard office equipment.
Employee is personally responsible for following health and safety guidelines, instructions, and policies.
Work occasional extended hours, evenings, nights, weekends and holidays for work that is required to be done during peak periods.
