National Events Specialist (Finance)



Compensation Range:
$30.00 - $40.00 Hourly Rate

Coordinate high-profile events, meetings, conferences, and corporate gatherings. Participate in venue selection, contract negotiations, budget management, on-site logistics, and coordinate our presence to maximize visibility and engagement with potential clients and partners.

POSITION RESPONSIBILITIES AND DUTIES

Conferences, Trade Shows and Internal Events: Strategy, Planning, and Execution:

  • Assist in execution of Executive committee road shows and engagement events.
  • Aid in planning all aspects of internal events and meetings, national trade shows, conferences, and major corporate events, ensuring alignment with brand positioning and messaging.
  • Help research, evaluate, and secure venues for events, negotiating contracts and managing relationships with vendors, suppliers, and venues.
  • Coordinate logistics and oversee event setup, catering, audiovisual equipment, transportation, and accommodation for attendees and staff.
  • Assist in developing event budgets, tracking expenses, and managing costs effectively to ensure events are delivered within budget constraints.
  • Collect information on speaking opportunities and document a calendar of submission dates at conferences and coordinate with our External Communications team on speaker submissions, abstracts, and presentations.
  • Assist with internal event attendee and speaker logistics, including room block management, transportation, and coordination of meeting content.
  • Participate in coordination and planning calls for internal and external events.
  • Ensure events comply with relevant regulations, permits, and safety standards.
  • Help mitigate risks associated with events, including security, health and safety, and liability issues.

Event Marketing and Promotion:

  • Collaborate with members of the Communications team (visual communications, digital media, media relations, etc.) to help develop promotional materials, invitations, and digital marketing campaigns to drive attendance and engagement.
  • Work with Digital Media team to leverage social media, email marketing, and other channels to promote events and engage with attendees before, during, and after events.

National Event Management: Strategy, Planning, and Execution:

  • Assist with planning and execution of major national events such as shareholder meetings, employee conferences, and company-wide celebrations.
  • Coordinate with team members to support the event(s) with high-quality branded company materials, i.e., presentation materials and supporting assets.

Complete other responsibilities as assigned.

MINIMUM SKILLS AND EXPERIENCE

  • Bachelor's degree in hospitality management, marketing, communications, business administration, or a related field is required.
  • 2-4 years of experience in event management, preferably in corporate events, C-suite meetings, trade shows, conferences, or related fields.
  • Experience and understanding the AEC (Architecture, Engineering, and Construction) industry or a related field is beneficial, but not required.
  • Creative thinking and innovation in developing unique event experiences and activations that differentiate the company and leave a lasting impression on attendees.
  • Logistical skills with the ability to help coordinate all aspects of event planning, including venue selection, vendor management, budgeting, and on-site coordination.
  • Excitement to learn all aspects of event marketing and promotion, including developing strategy for promotional materials, digital marketing campaigns, ROI management, and social media strategies to drive attendance and engagement.
  • Excellent interpersonal and relationship-building skills with the ability to cultivate and maintain relationships with event partners, sponsors, vendors, and stakeholders.
  • Strong written and verbal communication skills, with the ability to effectively communicate with internal teams, external partners, and event attendees.
  • Ability to help anticipate and mitigate risks, solve problems, and make quick decisions in a fast-paced event environment with guidance.
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and priorities simultaneously while maintaining accuracy and quality.
  • Adaptability to changing priorities and circumstances, with the ability to work under pressure and navigate unexpected challenges during events.
  • Stay informed about industry trends, best practices, and emerging technologies in event management to continuously improve event strategies and execution.
  • Ability to assist with multiple projects simultaneously, prioritize tasks, meet deadlines, and work efficiently under pressure. Experience with project management tools and methodologies a plus.
  • Adaptability to evolving design trends, technologies, and industry developments. Flexibility to adjust design approaches and schedules based on feedback, requirements, and changing business needs.
  • Ability to work collaboratively within a team environment, including designers, marketers, brand managers, and other stakeholders. Willingness to accept feedback, incorporate input from others, and contribute to a positive team dynamic.
